This policy explains what personal information One Stop Consult Ltd collects, why, who we share it with and your rights. We keep it short and specific to how we actually work.
1. Who we are
One Stop Consult Ltd is the data controller for the personal information described here. We’re a private limited company registered in England (company number 10891161), at 2 Short Street, Nuneaton, Warwickshire, CV10 8JF.
Contact for anything about your data: enquiries@onestopconsult.co.uk, 02475 095700, or by post to the address above.
2. What we collect
- Enquiries and quote requests (website forms, email, phone): your name, phone number, email address, company name, project address and postcode, details of your project, the services you need, how you heard about us, and any drawings or documents you send us.
- Projects we carry out: the information above, plus correspondence, site details, reports, invoices and payment records.
- Our project portal: for staff and the specialist partners who use it, your login details, contact details, messages and files shared on each job.
- Website use: technical information such as your IP address, browser and pages visited, collected through cookies and our analytics (see section 8).
3. How we use it, and our lawful basis
- To respond to your enquiry and prepare a quotation: steps you ask us to take before entering a contract.
- To deliver the services you order and manage the project: performance of our contract with you.
- To coordinate with the specialist partners who carry out or support the work, such as Building Control bodies, energy assessors, testers, engineers and warranty providers: performance of the contract, and our legitimate interest in providing a joined-up service.
- To keep accounting and tax records: legal obligation.
- To keep our website and systems secure, block spam and improve the site: our legitimate interests.
- To send you updates about our services if you’re a business client or have asked us to: legitimate interests or consent. You can opt out at any time.
4. Who we share it with
- Specialist partners who quote for or deliver the services you ask for. We share only what they need for that job, such as project details, the site address, drawings and contact details. They must use it only for that purpose.
- Service providers that run our systems on our behalf: website hosting, email (Microsoft 365), email delivery for website and portal messages, and website analytics.
- Professional advisers (accountants, insurers, lawyers), and authorities or regulators where the law requires it.
We don’t sell your personal information.
5. International transfers
Some of our service providers store or process data outside the UK, for example in the United States. Where they do, we rely on the protections UK law requires, such as UK adequacy regulations or the UK International Data Transfer Agreement or Addendum.
6. How long we keep it
We keep personal information only as long as we need it:
- enquiries that don’t go ahead: up to 2 years, so we can respond if you come back to us;
- project, contract and financial records: at least 6 years after the project ends, for legal, tax, insurance and warranty purposes;
- portal accounts: while the account is active, and the job records in line with project records.
7. How we protect it
The website uses HTTPS encryption. Our project portal is restricted to signed-in staff and partners, and each partner only sees the jobs that are theirs. Files uploaded to the portal can only be opened by signed-in users. Access to our systems is limited to people who need it.
8. Cookies
Our website uses a small number of cookies:
- Essential cookies make the site work: forms, security and keeping portal users signed in.
- Analytics cookies (Google Analytics) tell us how the site is used, such as which pages are popular, so we can improve it.
You can block or delete cookies in your browser settings. If you block essential cookies, some parts of the site, such as portal login, won’t work.
9. Your rights
You have the right to:
- ask for a copy of the information we hold about you;
- ask us to correct or delete it;
- object to, or ask us to restrict, how we use it;
- ask us to transfer it to you or another organisation;
- withdraw consent where we rely on it.
Contact us using the details in section 1. We’ll respond within one month. There’s normally no charge.
10. Complaints
If you’re unhappy with how we handle your information, please tell us first and we’ll try to put it right. You can also complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.
11. Changes to this policy
We’ll update this page if how we use personal information changes. The date below shows when it was last revised.
